2. Information we collect
- Candidates: name, contact details, CV, employment history, qualifications, references, identity and work-permit information (where a role requires it), salary expectations and interview notes.
- Clients and enquirers: name, job title, company, contact details and the content of your enquiry.
- Website visitors: basic technical data (such as IP address, browser type and pages visited) recorded in our hosting server logs for security and performance.
3. How we use your information
- To match candidates with suitable vacancies and present shortlisted candidates to prospective employers, with the candidate’s consent.
- To conduct credential, qualification, background and reference checks, only with your prior consent.
- To respond to enquiries and deliver our consulting services.
- To meet our legal, regulatory and contractual obligations.
- To keep this website secure and working properly.
We process personal information lawfully, for these specific purposes, and only to the extent that it is adequate, relevant and not excessive (POPIA sections 9–11).
4. Special personal information
Some roles require information such as race (for employment equity or B-BBEE reporting), health or criminal-record checks. We only process special personal information with your explicit consent or where the law permits it, and only for the role concerned.
5. Sharing your information
We share candidate information with prospective employers only with your consent. We may also share information with trusted service providers who help us operate (for example our applicant tracking platform, verification agencies, email and hosting providers), who are bound to keep it confidential and secure. We never sell personal information.
6. Cross-border transfers
Because we recruit for clients in Europe, the UK, the UAE and Asia, your information may be sent outside South Africa when you apply for an international role. We only do so with your consent, or where the recipient is subject to laws, binding rules or agreements that provide an adequate level of protection, as required by section 72 of POPIA.
7. Third-party services on this website
Our careers page embeds a job board hosted by forwork.life, and our contact page embeds Google Maps. When you use these, the providers may set their own cookies and process data under their own privacy policies. Applications submitted through the careers page are processed by the job-board provider on our behalf.
8. Cookies
This website itself does not use advertising or analytics cookies. Embedded third-party services (see section 7) may place cookies, which you can block or delete in your browser settings.
9. Retention
We keep candidate information for as long as needed to consider you for suitable roles — generally no longer than 24 months after our last contact — unless you ask us to delete it sooner or we must keep it longer by law.
10. Security
We take appropriate, reasonable technical and organisational measures to prevent loss, damage or unauthorised access to personal information, including encrypted (HTTPS) connections and access controls.
11. Your rights
Under POPIA you may request access to your personal information, ask us to correct or delete it, object to its processing, or withdraw your consent at any time. To exercise these rights, contact our Information Officer using the details above. We may need to verify your identity first.
12. Complaints
If you are unhappy with how we handle your information, please contact us first so we can put it right. You may also lodge a complaint with the Information Regulator (South Africa) — inforegulator.org.za.
13. Changes to this policy
We may update this policy from time to time. The latest version will always be published on this page.
